MAIN PURPOSE
- Support the Senior Commercial Operations Manager in day-to-day operations across boutiques and POS.
- Drive operational effectiveness and efficiency while ensuring full compliance with company policies, procedures, and regulatory standards.
- Contribute to the continuous improvement of retail processes, enhancing seamless client experiences across all touchpoints.
- Assist in the implementation and execution of operational excellence initiatives to optimize performance, scalability, and service quality.
KEY RESPONSIBILITIES
1. SOP Compliance
- Ensure adherence to company policies and regulatory standards; implement and monitor compliance action plans to address gaps and maintain operational integrity.
- Process and approve system related to transactions, purchase orders (POs), expenses, and other operational approvals in a timely and accurate manner.
- Respond to third party inquiries and requests by coordinating and preparing required documentation in compliance with local requirements.
- Ensure all BTQ boutiques and POS locations consistently follow corporate operational procedures and uphold high standards of operational quality.
- Review and verify monthly commission calculations for BTQ.
- Validate and submit monthly attendance reports for BTQ staff, ensuring data consistency and alignment with HR and payroll processes.
2. Regional BTQ planning & ordering
- Monitor daily goods PLVs/CS tools/equipment/Uniform ordering to fulfill BTQs+POSs needs. Monitor the level of stock.
- Overall budget planning and control T&E and selling expenses.
- Check & track BTQ expense reports, including the petty cash report, personal travel reimbursement, BTQ trip requests, PO settlement, and Customer refund application. Provide qualitative suggestions and recommendations to RD/ RM.
- SDP maintenance coordination, follow-up support.
- Closely work with BTQs + POSs to find their operation needs to continuously improve the operation quality and efficiency.
3. Projects, APPS & Tools
- Closely work with BTQ & POS to deploy apps & tools + including CIP.
- Act as a key user for apps & tools updates or new launches.
- Troubleshooting & training to front team.
- Assist in the implementation and execution of operational excellence initiatives to optimize performance, scalability, and service quality.
4. Miscellaneous administration support
- Updating the BTQ organization chart on monthly basis.
- Administrative preparation of the new staff on board in the BTQ.
