职位介绍:
您将根据每日工作需要为酒店总经理提供支持,及时与酒店经理沟通,确保工作顺利实施。另外,您也将向部门内其他 合作伙伴提供包括出差安排、活动组织或是其他项目的支持。
工作内容:
- 向酒店总经理提供每日行政支持,主要包括日程管理,安排会议/面试,处理差旅报销,记录会议纪要及系统支持。
- 记录酒店总经理布置给酒店经理的工作任务,并确保任务及时完成。
- 草拟/修改文档, 邮件或会议演讲稿;根据工作要求编辑Excel, Word ,PPT或是其他文件。
- 提供其他行政支持包括但不仅限于管理会议室安排、礼物库存、文档归纳、快递文件收发、办公用品补充和其他物品的采购。
- 根据需要,每月或每季度更新部门名单及组织架构,并为新入(升)职的经理开通所需功能权限。
- 计划安排好酒店总经理的差旅行程,并协助向来访者提供本地的访问日程及后勤安排。
- 协调演职人员活动安排、福利发放等事宜,并协助筹办酒店内的学习分享会、庆祝会等活动。
- 每两月递交酒店员工的意见反馈。
- 与部门内外的团队主力或其他业务线的秘书沟通交流。

- 拥有在跨国公司担任行政助理或经理助理的工作经验。
- 本科以上学历,毕业于行政管理或文秘相关专业。
- 精通微软办公软件,如Word、PowerPoint和Excel。
- 熟悉SAP系统 差旅报销操作,会下采购单(PO)
- 管理机密文件,及时准确地归档文件。
- 组织能力出色,注重细节。
- 具备抗压能力,能在不影响质量的前提下,根据优先级同时处理各项工作。
- 具备团队合作能力,配合团队成员,与内外部组织成员合作。
- 具备优秀的中英文书面与口语沟通能力。
- 积极,有上进心,能主动发现并解决问题。
- 灵活并能接受不同的工作任务。

Job Summary:
Provide day to day support to Hotel General Manager upon request. Communicate with hotel managers and deliver information to the respective person timely to impel the implementation. Provide support on internal partners on business trip arrangement, activities, or any other projects.
Key Responsibilities:
- Provide day to day administrative support to Hotel GM, mainly including managing calendar, scheduling meeting/interviews, processing expense reports, taking down meeting minutes and system support.
- Trace on the tasks assigned to Hotel Managers by GM, and ensure that the tasks are completed timely.
- Draft/revise documents, emails and deck upon request; edit Word, Excel or PowerPoint and other documents as needed
- Provide other administrative support including but not limited to managing meeting room, gifts inventory and filing system, monitor incoming and outgoing mail, ordering supplies and processing purchase orders.
- Update departmental contacts lists & organization charts on a regular (monthly/ quarterly) basis and establish IT access and all other necessary functionality requirements for new managers if exists.
- Manage the planning, coordination of business travel for GM and also help coordinate on local arrangement (trip logistics and itinerary) for internal visitors from other sites if needed.
- Perform other tasks and assist with special projects such as cast activity, cast benefit distribution, and coordinate/support on regular hotel internal events such as learning sessions and celebration activities.
- Provide hotel cast's comments on a bi-monthly basis.
- Interact with internal team assistants and other executives for meeting coordination or other work needs.
Desired Qualifications:
- Experience in administrative assistant or executive assistant in multi-national company.
- Bachelor’s degree or above, major in administration or secretary is preferable.
- Proficiency in Microsoft Office tools such as Word, Excel, and PowerPoint.
- Familiar with SAP in T&E function and be able to handle PCoE.
- Ability to handle confidential and sensitive information with discretion and good judgment, and file the document in an effective way.
- Excellent organizational skills and attention to detail.
- Ability to work under pressure in an environment where change is constant and handle multiple priorities without jeopardizing quality.
- Ability to work well in a team environment, to collaborate and interface with team members internal and external to the organization.
- Proficient in spoken and written Chinese and English.
- Proactive, self-motivated, and be able to anticipate issues and solve problem proactively.
- Flexible and embraces diversity of job tasks/varieties.
- Familiar with Microsoft software and be able to handle IT issues independently and promptly in some common problems
